Health and Safety policy

Man and Van Romford Health and Safety Policy

Man and Van Romford is committed to providing a safe and healthy working environment for our employees, contractors, customers and members of the public. This Health and Safety Policy sets out our approach to managing risks associated with removal and transport services, including moving household goods, office equipment and other items within our service area.

Policy Statement

Our objective is to prevent injury, ill health, property damage and environmental harm arising from our activities. We will identify and control hazards connected with lifting, carrying, loading, unloading, driving and working at customers homes, commercial premises and public locations. Health and safety performance is a core part of our service quality and business responsibility.

Legal Responsibilities

Man and Van Romford aims to comply with all relevant health and safety legislation, transport regulations and industry guidance relating to removal and delivery work. We will monitor changes in legal requirements and adjust our procedures, training and documentation where necessary to maintain compliance.

Management Responsibilities

Overall responsibility for health and safety rests with the company management. Management will provide leadership, resources and systems to ensure that risks are assessed and controlled effectively. This includes:

Ensuring risk assessments are carried out and reviewed for key activities such as manual handling, vehicle operations and work on customer sites. Providing appropriate equipment, vehicles, tools and personal protective equipment where required. Ensuring staff receive adequate information, instruction, training and supervision. Investigating accidents, incidents and near misses, and taking corrective action. Reviewing this policy periodically and updating it when necessary.

Employee Responsibilities

Every employee has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. All team members are expected to:

Follow company safety procedures and safe systems of work. Use vehicles, tools, lifting equipment and protective equipment correctly. Report hazards, unsafe conditions, accidents and near misses without delay. Co operate with managers and supervisors on all matters relating to health and safety. Refrain from any reckless or unsafe behaviour while at work or driving company vehicles.

Risk Assessment and Safe Working Practices

Man and Van Romford undertakes risk assessments for its core activities and introduces control measures to minimise risks. Safe working practices are developed and communicated to staff. These cover, as a minimum:

Manual handling and lifting of furniture, appliances and boxed items. Use of equipment such as sack trucks, trolleys, straps and blankets. Loading and securing goods in vehicles for safe transport. Access to and from premises, including stairs, lifts and narrow spaces. Working in and around driveways, roads and parking areas.

Site specific risks at customers properties will be identified, so far as is reasonably practicable, before work begins. Where risks cannot be adequately controlled, the work will be modified, postponed or refused.

Manual Handling and Lifting Safety

Manual handling is a significant part of removals work and is treated as a priority risk. To reduce the likelihood of strains, sprains and other injuries, Man and Van Romford will:

Provide instruction in safe lifting techniques and team lifting. Encourage the use of handling aids wherever practical. Plan lifts in advance, considering route, obstacles and weight. Avoid single person lifting of excessively heavy or awkward items. Stop work where an item is assessed as unsafe to move with the available resources.

Vehicle and Driving Safety

Our vehicles are essential to our service and are operated with safety as a primary concern. We will:

Ensure vehicles are maintained, inspected and serviced at appropriate intervals. Check tyres, lights, securing points and doors regularly. Require drivers to hold the correct licence and be medically fit to drive. Promote defensive driving techniques and adherence to road traffic laws. Avoid excessive working hours and ensure adequate rest breaks.

Loads must be distributed evenly, properly secured and checked before departure. Drivers must not operate vehicles under the influence of alcohol, drugs or any substance that may impair performance.

Customer and Public Safety

When working at private or commercial premises, the safety of customers, visitors and the public is carefully considered. We will:

Keep access routes as clear as reasonably possible. Use caution when carrying items through doorways, corridors and communal areas. Warn customers of any temporary hazards, such as trailing straps or ramps. Secure doors or gates when moving goods to prevent unauthorised access or injury. Minimise noise, obstruction and disruption where practical.

Equipment and Personal Protective Equipment

We provide suitable equipment to support safe moving and transportation. Staff must use equipment correctly and report any defects immediately. Where personal protective equipment is required, such as gloves or safety footwear, it must be worn as instructed and kept in good condition. Defective or worn equipment will be replaced.

Training, Information and Supervision

Staff will receive appropriate induction and ongoing training related to health and safety, including manual handling, vehicle safety, working at customers premises and emergency procedures. Supervisors will monitor adherence to safety standards during jobs and provide guidance and correction where necessary. Safety information will be communicated clearly and updated when procedures change.

Accident Reporting and Investigation

All accidents, incidents, injuries and near misses that occur during work activities must be reported to management. Records will be kept and reviewed to identify trends and opportunities for improvement. Where appropriate, investigations will be carried out to determine underlying causes and preventive measures will be implemented.

Emergency Arrangements

Man and Van Romford maintains basic emergency procedures, including responses to vehicle collisions, personal injuries, fire at customer premises and breakdowns. Staff are instructed on how to raise alarms, contact emergency services where required, and make situations safe as far as reasonably practicable. Vehicles will carry basic safety equipment and first aid provision suitable for the scale of operations.

Continuous Improvement

Health and safety performance will be reviewed on a regular basis. Feedback from staff and customers will be considered when improving procedures and working methods. As services grow or change within the local area, risk assessments and controls will be updated to reflect new circumstances and ensure ongoing protection for everyone affected by our work.

This Health and Safety Policy is communicated to all employees and is available to customers on request. Man and Van Romford is committed to keeping this policy under review so that it remains relevant, effective and aligned with best practice in the removals sector.
